How to renew and manage 30 days gap of the staff contract?

If we want to renew the staff contract, anyone here has a better idea how to manage 30 days gap and its effect?

When you have centralise the employee profile at one place which is HQ, when JTK come over to the branch, they still wanted to see the copy of the employees profile

to centralise the safekeeping of employees personal file

The original you can place at HQ but better to have copy at branch as a back up.
